From a mental To-Do list to Odoo


Before implementing Odoo, the Cobb County Sheriff's Office faced significant operational challenges. Managing inventory was a manual and time-consuming task that required constant attention. Gordy recalls, "Previously, I was literally keeping track of all the supplies in my head." This outdated process involved checking inventory daily and manually confirming stock levels before placing orders—a task that consumed around two hours each day.

"We were using spreadsheets to track inventory, but it was all manually written down," Gordy explains. The system lacked integration with other necessary functions like purchasing and requisition management, making inefficiencies apparent. 

Prior to choosing Odoo, the Sheriff's Office looked into several software options. However, most inventory management systems were basic, offering only limited features. "We were researching inventory systems," Gordy says. "We needed something more advanced that could evolve with us."

Odoo has revolutionized the way the Sheriff's Office operates. The first noticeable improvement was the reduction in time spent on inventory management: 

 "Now, I don't have to walk around checking inventory. It's all right in front of me on the computer," Gordy says. The system automatically tracks stock levels and sends alerts when new products are needed, saving hours of manual work. What once required two to three people now takes just one. 

 The seamless integration between Odoo's inventory, purchase, and sales apps has been particularly helpful. Gordy elaborates, "When we distribute products, the purchasing app automatically notifies me when we need to restock. It's incredibly efficient."

 Odoo has also automated forms, replacing the manual creation of requisitions with automatic generation. "Before, I had to type everything and do the math for purchases. Now, Odoo handles it all," says Gordy.

What is next

Looking ahead, Gordy is excited about implementing additional features from Odoo. "We plan to start using the Sign app to go paperless with our forms and get them digitally signed," he says. The goal is to make the entire Sheriff's Office system more cohesive by integrating all departments into one unified system.

"If every office uses different systems and apps, operations become fragmented and inefficient. Our goal is to streamline it all.”
