Coffeelism is a modern cafe concept dedicated to bringing quality coffee to Thailand. From a boutique cafe of six square meters, the coffee house has gained cult popularity for its premium bean-to-cup Thai coffee over nine years, with six branches across Bangkok today.


Looking to Upgrade from Taking Orders by Pen and Paper


The challenges I encountered are similar to those of every other coffee shop, especially those without formal management training.

With a passion for coffee and the desire to introduce her coffee to the country, Sai went headfirst into opening Coffeelism without much knowledge of business management. At first, the coffeehouse took orders manually with pen and paper. Later, it moved on to implementing different software into the workflow—one for POS at the storefront and two other standalone tools for accounting and inventory at the office.


However, the different software started to confuse the team without knowledge of business management about the sales and finance data. The workflow with three unintegrated and self-standing tools for sales, finance, and inventory management starts to fall apart. The team soon noticed red flags: unbalanced stock level and ineffective sales and cash flow management.



Realizing the need for a comprehensive enterprise resource planning (ERP) tool, Coffeelism consulted with Goconnext and decided to implement Odoo, knowing it was one of Thailand's most popular business solutions endorsed by its consultant.

Having implemented POS to take orders at the storefront and Inventory, Sales, and Accounting at the back of office, Coffeelism now connects all data on Odoo.

At all six branches, Coffeelism uses Odoo POS to take orders with all applicable discounts and loyalty schemes programmed into the system to facilitate accurate and swift order taking. All data is synchronized instantly with Odoo Sales, Inventory, and Accounting at the backend.

These synchronized data help office staff immediately identify best-selling products and sales trends and design suitable marketing strategies to promote their products. At the same time, Odoo automatically notifies the team to replenish when the coffee beans or other stock are running low. For branch managers and C-level personnel, these real-time data help them understand business performance to maintain a stable cash flow.

Ensuring Systematic Traceability and Quality Monitoring

Besides the big picture, Odoo provides the team with traceable data to take accurate action when something is off. Sai tells us how she discovered an error as an anecdote of the level of team efficiency empowered by real-time data after implementing Odoo.

At Coffeelism, we do test shots every day in the morning and afternoon to ensure the quality of our coffee, and the cost for each test is 13 baht. One day, I found that 20 shots were tested at one point in time, causing the operational cost to go up abnormally. So, I called the managers to learn more about the situation and found that the barista entered more test shots into the POS system in advance for the coming days. I was able to pick up errors and discrepancies in sales and finance numbers and, at the same time, understand my business in-store in detail just sitting in the office behind my screen.
